Users, roles and permissions overview

Access in ooptify starts with staff access levels, then lets you customise what each person can see — widgets, reports and areas of the product — so the view matches the job.

Access levels#

1. Administrator — business configuration, team management, integrations and reporting
2. Optometrist — clinical work plus team-level capabilities
3. Senior staff — day-to-day operations with provider eligibility
4. Junior staff — day-to-day operations

Custom visibility#

Beyond the four levels, you can control who can see individual dashboard widgets, reports and product areas. A receptionist, optometrist and practice owner can each get a different view without inventing a new role for every person.

Temporary staff#

Create time-limited accounts for locums and temporary staff. Temporary accounts expire automatically and can be revoked at any time.

Audit logging#

Every change to the practice database is logged — inserts, updates and deletes — with who made the change, when it happened, and what the record looked like before and after. Financial adjustments and refunds carry their own audit metadata. An audit log report and a user access review report are available to administrators.
